Work Days

WORK DAY PROCEDURES FOR TEAM LEADERS
 
 
"Work Day" is the term for a large, highly organized work event involving volunteers from the general public. The Town of Glastonbury requires us to follow agreed upon organizational and safety procedures as a condition of being allowed to co-sponsor these events with them.

The success of the Work Day depends on our group of Team Leader (TL) volunteers. This outline provides a general description of the duties of the Team Leaders.

General Responsibilities:

Each Team Leader will work with a team of up to eight volunteers in a designated area of the work site for one three-hour work shift. Each Team Leader will work alongside their team in their designated area but will also scan the work area from time to time, looking to see if their volunteers are working in accordance with the instruction they received at the start of the work shift, and correcting any concerns or problems.

We anticipate needing at least six Team Leaders plus back-up volunteers if someone can't make it or we have more volunteers than expected.

Team Leaders do not need any special skills.

Specific Responsibilities:

1. Pre-Event Meeting: Team Leaders must attend the pre-event meeting (October 23, 2014 at 3:30 PM, Riverfront Park, 200 Welles St., at the gazebo). Any Team Leader unable to attend will need to make arrangements to go over the pre-event meeting material prior to the work day. This meeting will include:

  • Overview of the arrival process, hospitality area, first aid, etc.
  • Walk-Through of Volunteer Training Checklist
  • Walk-through of the work site to get an idea what to expect, and brief practice session using the typical work day tools if needed.
  • Confirm identification of invasives and poison ivy versus beneficial plants.
  • Check for any areas with heavy poison ivy.
  • Set up the work area grid (designated work areas) for work day.
  • Discussion of any ideas for fine-tuning the procedures for work day.
  • Walk-through of secondary sites (areas Team Leaders should take their volunteers to continue working of the main site is completed ahead of schedule).
  • Anything else?
2. On Work Day:

  • Arrive at least 15 minutes prior to chosen work shift (morning or afternoon).
  • Volunteers will be referred to their specific work area after signing in so TL's should be at their area to meet their volunteers.
  • At the start time each Team Leader will conduct a short safety / training session for their team. A general outline of what to cover is in the Team Leader's Volunteer Checklist.
  • During the work shift Team Leaders will be doing work but will also be keeping an eye on volunteers to verify that they are working in a manner consistent with safety and their instructions, including keeping the work area clear of debris, keeping a safety space between workers, not rubbing their faces with their gloves, marking cut stumps properly, and so on.
  • When a work team completes an assigned area, the Team Leader will take their team to help other teams in any unfinished areas. If the entire site is done they should take their team to a designated secondary work site unless it is so close to noon they might as well go home.
  • Volunteers can work past noon if a Team Leader is present but all work MUST end by 1:30 PM so the Town can come in and treat the stumps.
